How to Move a Parent
Into Assisted Living

A proven 5-phase guide for Milwaukee and Southeastern Wisconsin families — from the first conversation to the first night in their new home.

5 Phases From Decision to Home

How to Move a Parent Into Assisted Living in Milwaukee & Southeastern Wisconsin

After 30 years of guiding families through this exact transition, we have distilled what actually matters into five clear phases. Each phase builds on the last — and skipping any of them is where most families hit trouble.

Phase 1

Start the Conversation

The hardest part is often the first sentence. Learn how to approach your parent with empathy, avoid common conversation traps, and frame the discussion around partnership rather than ultimatums.

  • 1Choose a calm, private moment — never during a holiday or right after a medical scare
  • 2Lead with observation, not diagnosis: "I have noticed the stairs seem harder lately. Have you noticed that too?"
  • 3Use "I" statements: "I worry about you" lands differently than "You are a fall risk"
  • 4Offer a menu of options — moving, in-home help, independent living — rather than one plan
  • 5Listen more than you talk; sometimes the most powerful thing is simply "I hear you"

Insider tip: Many families delay this conversation until a crisis forces it. Starting early — before the decision is urgent — gives your parent time to process and participate fully.

Phase 2

Tour & Choose a Community

Not all assisted living communities are the same. Touring with a critical eye — and the right questions — reveals what brochures never show. We recommend touring at least three communities before making a decision.

  • 1Tour during a regular day, not a staged open house, and observe how staff interact with residents when they think no one is watching
  • 2Eat a meal in the dining room and ask to see the real activities calendar, not a sample one
  • 3Ask about staff-to-resident ratios during day, evening, and overnight shifts
  • 4Request references from two or three families of current residents
  • 5Check Wisconsin Department of Health Services for any citations or violations

Insider tip: The residents are the best indicator of quality. Are they well-groomed, engaged, and making eye contact? A community where residents look content is usually a community worth considering.

Phase 3

Downsize & Create a Floor Plan

Moving from a house to an assisted living apartment means fitting decades of belongings into a single room or small suite. A scaled floor plan makes this process far less overwhelming — and prevents the mistake of moving furniture that has nowhere to go.

  • 1Measure the new apartment precisely and create a scaled floor plan before deciding on any furniture
  • 2Sort every item into four categories: Keep, Gift, Donate, Sell/Discard
  • 3Identify the non-negotiable comfort items — the pillow, the clock, the photo arrangement — and plan their placement first
  • 4Gift meaningful pieces to family now, with the stories behind them, rather than waiting until the last minute
  • 5Start six to eight weeks before the move, working two to three hours per day to avoid decision fatigue

Insider tip: The kitchen and bedroom are usually the most emotional rooms. We recommend tackling the garage, basement, and storage areas first — they tend to have less emotional weight and build momentum.

Phase 4

Coordinate Move-In Day

Move-in day at an assisted living community is not like a typical move. There are elevator reservations, staff protocols, parking restrictions, and a parent who may be anxious, excited, or grieving. Coordination is everything.

  • 1Reserve the community elevator and confirm parking for the moving truck at least one week ahead
  • 2Ask the community for their move-in checklist and any restricted items
  • 3Pack a "first night" bag with medications, toiletries, a change of clothes, and comfort items — keep it with you, not on the truck
  • 4Confirm utility shutoffs, mail forwarding, and address changes two to four weeks before the move
  • 5Limit the number of family members present on move-in day to reduce overwhelm for your parent

Insider tip: The most successful move-in days we have seen are the ones where the senior arrives after the apartment is already set up. Walking into a bed that is made, photos that are hung, and a bathroom that is stocked changes everything about that first moment.

Phase 5

Unpack, Settle & Follow Up

The move is not over when the truck leaves. The first two weeks are the most vulnerable period for transfer trauma — a condition where seniors experience disorientation, confusion, or decline after a major relocation. A thoughtful follow-up plan is essential.

  • 1Arrange the new apartment to mirror the old one as closely as possible: same furniture arrangement, same photo wall, same nightstand items
  • 2Visit or call daily for the first week — familiar voices are the single strongest protection against transfer trauma
  • 3Introduce your parent to one or two residents and a staff member by name on move-in day
  • 4Watch for warning signs: confusion, withdrawal, poor appetite, or sleep disturbances in the first two to four weeks
  • 5Schedule a follow-up visit within the first week to adjust furniture, address concerns, and confirm medications are being managed correctly

Insider tip: The families who handle this transition best treat the first month as an active phase of care, not a finished event. Your consistent presence during this window is more important than any single decision you made before the move.
